The Actual Work Protected fields (field: A location in a sheet, form, or chart that contains a specific kind of information about a task, resource, or assignment. For example, in a sheet, each column is a field. In a form, a field is a named box or a place in a column.) show the amount of work (work: For tasks, the total labor required to complete a task. For assignments, the amount of work to which a resource is assigned. For resources, the total amount of work to which a resource is assigned for all tasks. Work is different from task duration.) that has been reported by assigned resources via Microsoft Office Project Web Access. The timephased (timephased: Task, resource, or assignment information that is distributed over time. You can review timephased information in any available time period in the fields on the right side of the Task Usage and Resource Usage views.) versions of these fields show protected work values distributed over time. As soon as a team member's actual work (actual work: The amount of work that has been performed on a task or assignment. When you enter actual work on a task, the remaining work is calculated using this formula: Remaining Work = Work - Actual Work. Actual work is often referred to as "actuals.") amounts are accepted by the project manager, they're brought into the project file as read-only, or protected.

Data Type Duration (duration field: A type of field whose content is expressed as a duration of time. Examples include the Work, Duration, and Delay fields. A duration field includes the duration unit, such as hour, day, or week.)

Actual Work Protected (task field)

Entry Type Calculated (calculated field: A field in which the value is determined by Project based on information in other fields. Project may recalculate the value automatically or when you specify, depending on your choice of calculation settings.)

How Calculated When you first create a task, the Actual Work Protected field contains "0 hrs." The team member enters actual work amounts in the Project Web Access timesheet (timesheet: In Project Web Access, the timesheet is a page where resources can record their progress on tasks and send updates to the project manager.). The team member sends the project manager updates for each reporting period. As soon as a team member's actual work amounts are accepted by the project manager, those amounts are locked into the Actual Work Protected field and cannot be edited.

Best Uses Add the Actual Work Protected field to any task sheet view (sheet: A spreadsheet-like representation [in rows and columns] of task or resource information. Each row specifies an individual task or resource. Each column [field] specifies a type of information, such as start dates or standard rates.) to review or filter the uneditable actual work hours on tasks that have been submitted by team members. This field can be especially useful for billing and accounting purposes for tasks.

Example Sean and Chris have completed the "Develop electrical schematics" task. According to the value shown in the Actual Work Protected field for the task, they worked a total of 80 hours. You're preparing an invoice to your customer, and you use this value as the accurate number of hours worked on this task.

Remarks The server administrator (server administrator: An individual responsible for setting up fields, views, and reports for an organization and setting up and maintaining the server and server software.) sets whether your organization uses protected actuals. To activate protected actuals for the organization, in the Tracking settings page in Project Web Access, the administrator selects Hours of work done per day or per week, Force project managers to use the progress reporting method specified above for all projects, and Allow only Project Web Access users to update actuals and only during open reporting periods.

Actuals cannot be protected if your team tracks progress by percent complete (percent complete: A field that you use to enter or display how much of a task has been completed. This value is expressed as the percentage of the task duration that has been completed.) or actual and remaining work (remaining work: The amount of work, in terms of a time unit such as hours or days, that is left to be completed on a task. This is calculated as follows: Remaining Work = Work - Actual Work.), or if you're not receiving your actuals from Project Web Access.

You're preparing an invoice to your customer which covers the last two weeks of work, and you use this value as the accurate number of hours worked on this task.
