Microsoft Project 2007 - Actual Overtime Work Protected fields (back)
The Actual Overtime Work Protected fields (field: A location in a sheet, form, or chart that contains a specific kind of information about a task, resource, or assignment. For example, in a sheet, each column is a field. In a form, a field is a named box or a place in a column.) show the amount of overtime (overtime: The amount of work on an assignment that is scheduled beyond the regular working hours of an assigned resource and charged at the overtime rate. Overtime work indicates the amount of the assignment's work that is specified as overtime work.) work that has been calculated from the work reported by assigned resources via Microsoft Office Project Web Access. The timephased (timephased: Task, resource, or assignment information that is distributed over time. You can review timephased information in any available time period in the fields on the right side of the Task Usage and Resource Usage views.) versions of these fields show protected overtime work values distributed over time. As soon as a team member's actual work (actual work: The amount of work that has been performed on a task or assignment. When you enter actual work on a task, the remaining work is calculated using this formula: Remaining Work = Work - Actual Work. Actual work is often referred to as "actuals.") amounts are accepted by the project manager, the work and overtime work values are stored in the project file as read-only, or protected.
There are several categories of Actual Overtime Work Protected fields. Learn more about field categories.
Data Type Duration (duration field: A type of field whose content is expressed as a duration of time. Examples include the Work, Duration, and Delay fields. A duration field includes the duration unit, such as hour, day, or week.)
Actual Overtime Work Protected (task field)
Entry Type Calculated (calculated field: A field in which the value is determined by Project based on information in other fields. Project may recalculate the value automatically or when you specify, depending on your choice of calculation settings.)
How Calculated When you first create a task, the Actual Overtime Work Protected field contains "0 hrs." The team member enters actual overtime work amounts in the Project Web Access timesheet (timesheet: In Project Web Access, the timesheet is a page where resources can record their progress on tasks and send updates to the project manager.). The team member sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the task's Actual Overtime Work Protected field and cannot be edited.
Best Uses Add the Actual Overtime Work Protected field to any task sheet view (sheet: A spreadsheet-like representation [in rows and columns] of task or resource information. Each row specifies an individual task or resource. Each column [field] specifies a type of information, such as start dates or standard rates.) to review or filter the uneditable actual overtime work hours on tasks that have been submitted by team members. This field can be especially useful for billing and accounting purposes for tasks.
Example There are 10 hours of planned overtime for the "Develop electrical schematics" task. By reviewing the Actual Overtime Work Protected field, you see that the assigned resources have reported 6 hours of actual overtime on this task.
Remarks The server administrator (server administrator: An individual responsible for setting up fields, views, and reports for an organization and setting up and maintaining the server and server software.) sets whether your organization uses protected actuals. To activate protected actuals for the organization, in the Tracking settings page in Project Web Access, the administrator selects Hours of work done per day or per week, Force project managers to use the progress reporting method specified above for all projects, and Allow only Project Web Access users to update actuals and only during open reporting periods.
Actuals cannot be protected if your team tracks progress by percent complete (percent complete: A field that you use to enter or display how much of a task has been completed. This value is expressed as the percentage of the task duration that has been completed.) or actual and remaining work (remaining work: The amount of work, in terms of a time unit such as hours or days, that is left to be completed on a task. This is calculated as follows: Remaining Work = Work - Actual Work.), or if you're not receiving your actuals from Project Web Access.
Actual Overtime Work Protected (resource field)
Entry Type Calculated (calculated field: A field in which the value is determined by Project based on information in other fields. Project may recalculate the value automatically or when you specify, depending on your choice of calculation settings.)
How Calculated The Actual Overtime Work Protected field for a resource (resources: The people, equipment, and material that are used to complete tasks in a project.) contains "0 hrs" until the resource starts to submit hours worked on assignments. The resource enters actual overtime work amounts in the Project Web Access timesheet (timesheet: In Project Web Access, the timesheet is a page where resources can record their progress on tasks and send updates to the project manager.). The team member sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the resource's Actual Overtime Work Protected field and cannot be edited. Project calculates actual overtime work protected for each resource as the sum of all actual overtime work protected values reported for all assigned tasks.
Best Uses Add the Actual Overtime Work Protected field to any resource sheet view (sheet: A spreadsheet-like representation [in rows and columns] of task or resource information. Each row specifies an individual task or resource. Each column [field] specifies a type of information, such as start dates or standard rates.) to review or filter the total uneditable actual overtime work hours for each resource. This field can be especially useful for billing and accounting purposes for resources.
Example You've budgeted 20 hours of overtime for each resource. By reviewing the Actual Overtime Work Protected field on the Resource Sheet view, you can review how much overtime each resource has reported so far for all assigned tasks.
Actual Overtime Work Protected (assignment field)
Entry Type Calculated (calculated field: A field in which the value is determined by Project based on information in other fields. Project may recalculate the value automatically or when you specify, depending on your choice of calculation settings.)
How Calculated The Actual Overtime Work Protected field for the assignment (assignment: A specific resource that is assigned to a particular task.) contains "0 hrs" until the assigned resource starts to submit hours worked for this assignment. The resource enters actual overtime work amounts in the Project Web Access timesheet (timesheet: In Project Web Access, the timesheet is a page where resources can record their progress on tasks and send updates to the project manager.). The resource sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the assignment's Actual Overtime Work Protected field and cannot be edited.
Best Uses Add the Actual Overtime Work Protected field to the sheet (sheet: A spreadsheet-like representation [in rows and columns] of task or resource information. Each row specifies an individual task or resource. Each column [field] specifies a type of information, such as start dates or standard rates.) portion of the Task Usage view to review or filter the uneditable actual overtime work hours submitted by resources for assignments on specific tasks. Add this field to the sheet portion of the Resource Usage view to review or filter the uneditable actual overtime work hours for assignments of specific resources. This field can be especially useful for billing and accounting purposes for assignments.
Example There are 10 hours of planned overtime for the "Develop electrical schematics" task assigned to Sean. By reviewing the Actual Overtime Work Protected field in the Task Usage view, you can see that Sean has reported 6 hours of overtime on this assignment.

This is calculated as follows: Remaining Work = Work - Actual Work.), or if you're not receiving your actuals from Project Web Access.
Actual Overtime Work Protected (task-timephased field)
Entry Type Calculated (calculated field: A field in which the value is determined by Project based on information in other fields. Project may recalculate the value automatically or when you specify, depending on your choice of calculation settings.)
How Calculated When you first create a task, the task-timephased (timephased: Task, resource, or assignment information that is distributed over time. You can review timephased information in any available time period in the fields on the right side of the Task Usage and Resource Usage views.) Actual Overtime Work Protected field contains "0 hrs." The team member enters actual overtime work amounts in the Project Web Access timesheet (timesheet: In Project Web Access, the timesheet is a page where resources can record their progress on tasks and send updates to the project manager.). The team member sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are distributed over time in the task's timephased Actual Overtime Work Protected field and cannot be edited.
Best Uses Add the Actual Overtime Work Protected field to the timephased portion of the Task Usage view to review the uneditable timephased actual overtime work hours on tasks that have been submitted by team members. This field can be especially useful for seeing the breakdown of task overtime by time period, such as days, weeks, or months.
Example You have planned for 10 hours of overtime per week on the "Develop electrical schematics" task. By reviewing the Actual Overtime Work Protected field in the Task Usage view, you can see that the assigned resources have reported 6 hours of overtime the first week, and 8 hours of overtime the second week.

You can review timephased information in any available time period in the fields on the right side of the Task Usage and Resource Usage views.) Actual Overtime Work Protected field contains "0 hrs" until the resource starts to submit hours worked on assignments. If overtime work is included in the update, those values are locked into the resource's timephased Actual Overtime Work Protected field and cannot be edited. Project calculates timephased actual overtime work protected for each resource as the sum of all actual overtime work protected values reported for all assigned tasks, distributed over a period of time.
Best Uses Add the Actual Overtime Work Protected field to the timephased portion of the Resource Usage view to review the uneditable timephased actual overtime work hours for resources. This field can be especially useful for seeing the breakdown of resource overtime by time period, such as days, weeks, or months.
